Rental Valley (“we” or “us”) has developed this Privacy Policy to explain all our reasonable precautions to keep any personal data (“Data”) secure.

1. Who we are

Rental Valley is a private company with limited liability. Rental Valley resides at Trompstraat 15f 2041JD in Zandvoort. Our website address is: https://www.rentalvalley.com. Rental Valley can be reached by email ([email protected]).

2. What personal data we collect and why we collect it

Personal Data

While using our Service, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you (“Personal Data”). Personally identifiable information may include, but is not limited to:
  • Email address
  • First name and last name
  • Phone number
  • Address, State, Province, ZIP/Postal code, City
  • Cookies and Usage Data

Usage Data

We may also collect information how the Service is accessed and used (“Usage Data”). This Usage Data may include information such as your computer’s Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our Service that you visit, the time and date of your visit, the time spent on those pages, unique device identifiers and other diagnostic data.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection. An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

When you fill out a contact form or when you send us an e-mail or another electronic message, your information will be stored for the processing of the request, for possible follow-up questions or for other related questions and will only be used to follow up with the request. Your data will be transferred in an encrypted manner, preventing third parties from reading your data while it is being entered. Basis for this storage is your consent pursuant to Art. 6 para. 1 (a) GDPR, which you grant us by filling in the contact form or by your other requests. You may revoke this consent at any time, you just need to contact us without any particular formal requirement (for example in the contact form or by e-mail). This withdrawal has no effect on the legality of the data processing that has occurred up to that point. Your data remains stored for as long as the processing of the request requires, in particular as long as the storage is still necessary to perform the contract, to pursue our rights or for our other legitimate interests or we are compelled by law to keep your data stored (for example based on tax-law requirements to maintain files).

Tracking & Cookies Data

We use cookies and similar tracking technologies to track the activity on our Service and hold certain information. Cookies are files with small amount of data which may include an anonymous unique identifier. Cookies are sent to your browser from a website and stored on your device. Tracking technologies also used are beacons, tags, and scripts to collect and track information and to improve and analyze our Service. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our Service. Examples of Cookies we use:

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Google analytics

Our website uses Google Analytics, a web analysis service of Google, Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043 USA, www.google.com (“Google Analytics” or “Google”). Google Analytics employs cookies that are stored to your computer in order to facilitate an analysis of your use of the site. The information generated by these cookies, such as time, place and frequency of your visits to our site, including your IP address, is transmitted to Google’s location in the US and stored there. In using Google Analytics our website employs the extension “anonymizeIp”. In doing so, Google abbreviates and thereby anonymizes your IP address before transferring it from EU/EEA member states. Google uses this information to analyze your use of our site, to compile reports for us on internet activity and to provide other services relating to our website. Google may also transfer this information to third parties where required to do so by law or where such third parties process this data on Google’s behalf. Google states that it will in never associate your IP address with other data held by Google. You can prevent cookies from being installed by adjusting the settings on your browser software accordingly as noted elsewhere in this Privacy Policy. You should be aware, however, that by doing so you may not be able to make full use of all the functions of our website. Google Analytics also offers a deactivation add-on for most current browsers that provides you with more control over what data Google can collect on websites you access. The add-on tells the JavaScript (ga.js) used by Google Analytics not to transmit any information about website visits to Google Analytics. However, the browser deactivation add-on offered by Google Analytics does not prevent information from being transmitted to us or to other web analysis services we may engage. Google Analytics also uses electronic images known as web beacons (sometimes called single pixel gifs) and are used along with cookies to compile aggregated statistics to analyze how our site is used. 3. Who we share your data with

We do not sell, trade, or otherwise transfer to your Data to third parties unless we provide you with advance notice (except for specified matters in this privacy statement). This does not include website hosting partners and other parties who assist us in operating our website, conducting our business, or serving our users, so long as those parties agree to keep this information confidential. We may also release information when it’s release is appropriate to comply with the law, enforce our site policies, or protect ours or others’ rights, property or safety. However, other data (which is not considered Personal Data) may be provided to other parties for marketing, advertising, or other uses (i.e. our number of unique visitors, the average time spent on our website e.g.).

4. How long we retain your data

Your data will generally only remain stored for as long as the purpose of the relevant data processing requires it. Storage beyond that is mainly possible when it is still necessary for us to pursue our rights or for our other legitimate interests or if we are compelled by law to keep your data stored (for example based on tax-law requirements to maintain files, which is generally 6 years, but may last up to 10 years). If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue. For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

5. What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file (send request to [email protected]) of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. If you have a Rental Valley owner account (web or mobile app), you may also exercise these rights by emailing [email protected] or via your account manager.

6. Where we send your data

Visitor comments may be checked through an automated spam detection service. Your information, including Personal Data, may be transferred to — and maintained on — computers located outside of your state, province, country or other governmental jurisdiction where the data protection laws may differ than those from your jurisdiction. If you are located outside the Netherlands and choose to provide information to us, please note that we transfer the data, including Personal Data, to the Netherlands and process it there. Your consent to this Privacy Policy followed by your submission of such information represents your agreement to that transfer. Rental Valley will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy and no transfer of your Personal Data will take place to an organization or a country unless there are adequate controls in place including the security of your data and other personal information.

7. Additional information

How we protect your data

The security of your data is important to us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security.

Changes to this privacy policy 

We may change this Privacy Notice from time to time. However we will not reduce your rights under this Privacy Notice. We will always update this Privacy Notice on our website, so please try to read it when you visit the website (the ‘last updated’ reference tells you when we last updated this Privacy Notice).

Links to external websites 

Our Service may contain links to other sites that are not operated by us. If you click on a third party link, you will be directed to that third party’s site. We strongly advise you to review the Privacy Policy of every site you visit. We have no control over and assume no responsibility for the content, privacy policies or practices of any third party sites or services.

Children’s Privacy

Our Service does not address anyone under the age of 18 (“Children”). We do not knowingly collect personally identifiable information from anyone under the age of 18. If you are a parent or guardian and you are aware that your Children has provided us with Personal Data, please contact us. If we become aware that we have collected Personal Data from children without verification of parental consent, we take steps to remove that information from our servers.

8. Native mobile applications (iOS and Android)

Rental Valley publishes a native mobile application — the Rental Valley Owner Portal — on the Apple App Store and the Google Play Store. The mobile app is a thin wrapper around the same owner portal available at https://portal.rentalvalley.com/owner-app/ and is offered only to existing Rental Valley property owners. It does not allow account self-signup.

Data the mobile app processes

In addition to the personal data described elsewhere in this policy, the app:
  • Authenticates with the same email address and password used for the web portal. We do not store your password on the device; only a short-lived session cookie.
  • Registers a push notification token issued by Apple (APNs) or Google (Firebase Cloud Messaging) so we can send you transactional alerts about your bookings and payouts. We store the token together with your user account and the device platform and app version, and we delete it when you log out or uninstall the app.
  • Uses biometric authentication (Face ID, Touch ID, or fingerprint) only to unlock the app on your device, if you opt in under Profile → Mobile app. Biometric data is processed entirely on your device by Apple’s Secure Enclave or Android’s Keystore — it is never transmitted to or stored by Rental Valley.
  • Lets you upload documents (for example a copy of your ID for KYC compliance, or a floor plan of your property). These uploads are stored on Rental Valley’s servers and are visible only to you and authorised Rental Valley staff.
  • Displays guest information (name, contact details, stay dates, payouts) sourced from the channel manager and OTA partners listed below. You receive this information in your capacity as the property owner of record and you must not share guest data outside the app.

Third-party processors used by the mobile app

  • Apple Inc. — distribution via the App Store, push delivery via the Apple Push Notification service, and anonymised crash diagnostics. Data shared: device push token, anonymised diagnostic data.
  • Google LLC — distribution via Google Play and push delivery via Firebase Cloud Messaging for both iOS and Android. Data shared: device push token and notification payload.
  • Functional Software, Inc. (Sentry) — server-side error monitoring. Data shared: user ID and request metadata when an error occurs.
  • BookingSync SAS — channel manager that synchronises reservations between Rental Valley and the OTAs. Data shared: property and booking metadata.

Owner identity and tax data (DAC 7 / KYC)

EU Council Directive (EU) 2021/514 (commonly known as DAC 7) requires short-stay rental platform operators and the property management companies they work with to identify property owners and report rental income to the tax authorities. To meet this obligation, and to comply with standard “know-your-customer” requirements, the owner portal also collects:
  • Identity data: full legal name, date of birth, city of birth and nationality.
  • Government identification numbers: your national tax / social-security identifier (e.g. BSN, NIF, NIPC, NIE), your passport number and its expiry date, and where applicable the details of your fiscal representative.
  • Address data: your residential address and — if you operate as a company — your business address.
  • Business and tax classification: company name, business registration number, VAT number, and IVA classification (for Portuguese owners).
  • Supporting documents you upload, such as copies of identification, property deeds, habitation licences, insurance policies and contracts.
The legal basis for processing this data is compliance with a legal obligation (Art. 6(1)(c) GDPR) in combination with the performance of our property-management contract with you (Art. 6(1)(b) GDPR). We retain this data for as long as DAC 7 and national tax law require us to keep it — generally 7 to 10 years after the end of the contract — even if you stop using the app.

Second point of contact

The app lets you add a second point of contact (for example, your spouse, business partner, or office manager). When you provide that person’s name, email or phone number, you confirm that you have their permission to share their contact details with us and that you have informed them about this privacy policy. They may exercise the same access, rectification and erasure rights described in section 5 by emailing [email protected].

Diagnostic data

Apple and Google may collect anonymised crash reports and basic device diagnostics from the app under their respective platform policies. You can opt out of sharing this data with Apple under Settings → Privacy & Security → Analytics & Improvements and with Google under Settings → Google → Usage & diagnostics.

Your GDPR rights (clarification)

In addition to the export and erasure rights described in section 5, you also have the right under the GDPR to rectify inaccurate data, to restrict or object to processing, to port your data to another provider, and to lodge a complaint with your national data protection authority (in the Netherlands: Autoriteit Persoonsgegevens).
